Conduct & Complaint Policy for Volunteers, Parents, and Coaches
The purpose of this policy is to promote a safe, respectful, and supportive environment for all participants in the St. Helens Girls Softball. This policy outlines the procedure for handling misconduct or complaints involving volunteers, parents, and coaches, including a progressive disciplinary "strike system."
Code of Conduct
All volunteers, parents, and coaches are expected to:
Treat all players, officials, spectators, and fellow members of the league with respect.
Refrain from unsportsmanlike behavior, including yelling, threats, harassment, or verbal abuse.
Follow all league rules, policies, and decisions by league officials or umpires.
Model positive behavior for children both on and off the field.
Complaint & Disciplinary Procedure: 3-Strike System
Strike 1 – Verbal Warning
A verbal warning will be issued by a league official after investigation and confirmation of a complaint or inappropriate behavior.
The incident will be documented in writing and stored in league records.
Strike 2 – Written Warning
A formal written warning will be issued upon a second confirmed violation.
A meeting may be required with league leadership to discuss expectations moving forward.
Continued involvement will be contingent on agreement to comply with league conduct standards.
Strike 3 – Removal from Participation
A third confirmed incident will result in the removal of the individual from all league activities and events for the remainder of the season (or permanently, at the discretion of league leadership).
The child associated with the individual will be allowed and encouraged to continue full participation in all league activities. No child will be punished for the conduct of a parent, coach, or volunteer.
Filing a Complaint
Complaints should be submitted in writing to a league official or through the official complaint form (available online or in person).
Complaints will be handled confidentially and investigated promptly and fairly.
The League reserves the right to escalate or adjust consequences in cases of serious or egregious behavior (e.g., threats, violence, or abuse).
Appeals
Individuals may submit a written appeal within 7 days of receiving a strike notice.
Appeals will be reviewed by a designated conduct committee or board panel.
All decisions following an appeal are final.
